Getting started
What do I need to start?
You and every interviewer on the panel connect a Google Calendar or Microsoft 365 calendar once. The candidate needs a WhatsApp number or an email address on their application.
What if an interviewer hasn’t connected their calendar?
Start stays off until they do. Tap Ask to connect and we email them a link, and Start turns on by itself once they connect. Or make them an observer: observers join the call without a connected calendar.
What can I set for each interview?
The length (30, 45 or 60 minutes), how many days ahead to look (3, 5, 7 or 14), and the hours and weekdays interviews can happen. The default is 10 AM to 7 PM, Monday to Friday. You can also edit the interview’s name, which is what the candidate sees.
Which video platforms does it use?
Google Meet or Microsoft Teams, whichever comes with your calendar. Every invite carries the link. Phone, Zoom and in-person interviews aren’t supported.
Can I still schedule interviews myself?
Yes. Pick a time myself opens the usual scheduler, and you can take over from AI at any point.
How do I turn it on?
Ask your Goodfit contact. We switch it on for your team.
Your candidates
Who sends the messages?
Goodfit’s verified WhatsApp business number. Every message names your company, and emails come in your company’s name.
Can it book a time nobody agreed to?
No. It only offers times when every interviewer is free, inside your hours, and it books only when the candidate taps one. Right before booking, it checks the calendars again.
What if none of the times work?
The candidate can type a time, like “thursday after 3”. If it’s free, they get one button to book it. If it’s taken, they get the closest free times. If nothing fits in the days you set, it comes to you with what they asked for.
What if they ask for a weekend or a late evening?
It tells them your interview hours and offers the closest times inside them.
What if they don’t reply?
It reminds them after 1 day and again after 2, only between 10 AM and 7 PM their time. After 3 days with no reply, or once the days you set run out, it comes to you with Nudge again and Take over.
What if they’re not interested?
They tap Not interested, confirm, and pick a reason. You see the reason. The application stage never changes on its own.
Can they change the time?
Yes, twice, as long as it’s at least 2 hours before the start. Their current time stays booked until the new one is. A third change, or one less than 2 hours before, comes to you.
What if they can’t make it?
They tap Can’t attend and confirm. The event is removed from every calendar, everyone is told, and it comes to you to decide what happens next.
What if they’re running late?
They can just say so. The interviewers get an email, the interview stays on, and you get a note.
Do candidates get reminders?
Yes. One the day before, if it was booked more than a day ahead, and one about an hour before, with the link to join.
What if the candidate is in another country?
Times are shown in India time (IST). If the candidate says where they are, it switches to their time zone. On the email page, they can pick their own.
What if they ask about the salary or the job?
It never answers for you. It tells them the question has been passed on, and you get a notification with the question so your team can reply. AI doesn’t write any of the messages: every message a candidate gets is fixed wording.
Which language are the messages in?
English.
Interviewers and your team
What if an interviewer declines the invite?
The booking is cancelled and the candidate gets new times right away. You get a note. If interviewers decline a second time, it comes to you and the candidate isn’t messaged again.
What if an interviewer is on leave?
Mark it as Out of office in Google Calendar or Outlook, and those times are never offered. An all-day event left as Free doesn’t block anything. Public holidays aren’t skipped on their own, so mark them busy on the calendar too.
What if several candidates are up for the same panel?
Times offered to one candidate are held for a day, so no one else is offered them. Each booking checks the calendars again first. If a time was just taken, the candidate sees “That time just filled up” and gets fresh times.
What if I move or cancel the interview myself?
Do it in Goodfit or straight in your calendar. The candidate is told the new time, or that it’s cancelled.
Can I change who’s interviewing?
Yes, by rescheduling it yourself from the candidate’s page. AI doesn’t swap interviewers on its own.
What do interviewers get?
A normal calendar invite with the meeting link, the candidate’s resume and their report. An email if the candidate is running late. There’s nothing to install.
How do I see what’s happening?
Every candidate card shows where scheduling is, from Waiting on candidate to booked, with who has accepted. Open it for the whole conversation, word for word. When something needs you, the card turns red with the reason and the fix, and you get a notification.
Can I step in?
Any time. Take over stops AI scheduling for that candidate and keeps any booking as it is.
Privacy
What does it see in our calendars?
It uses only the times people are busy. Meeting titles and details are never saved, never sent to AI and never shown to candidates. It also needs permission to put the interview on the calendar.
What do candidates see about our team?
The times they’re offered and the calendar invite. They never see anyone’s calendar.
